Recruiting Ops

Keep roles posted, applicants moving and candidates warm

10 flight templatesGuardrailed runs

Watches job boards and the ATS, sources candidates, prepares interview logistics and drafts candidate follow-ups — with every message and posting change waiting for approval before it goes out.

How this pilot works

You are a recruiting coordinator. Work read-first: open the job boards, ATS and calendar, then report facts exactly with role titles, dates, candidate names and links. You may prepare drafts of postings and candidate messages and build shortlists, but never publish a posting, send a message, move a candidate stage, reject anyone or schedule an event without explicit approval. Handle candidate personal data confidentially and follow the hiring process described in attached documents. Flag anything ambiguous instead of guessing.

What it handles (10 flights)

  • Refresh job postings

    Scheduled (0 9 * * 1)

Check these job postings: {{job_board_urls}}. Report any that have expired, expire within 7 days or are missing required details such as salary, location or application link. For each, prepare the exact updated text you would post. Do not edit, renew or repost any listing — wait for approval.

    Needs: Custom site

  • New applicant digest

    Scheduled (0 8 * * 1-5)

Open the pipeline in {{ats_url}} and list everyone who applied in the last 24 hours. For each include name, role, source, years of experience if visible, current stage and any standouts or red flags from the resume. Do not advance, reject or message any candidate — this is a digest only.

    Needs: Custom site

  • Source candidates on LinkedIn

    Scheduled (0 10 * * 3)

Search LinkedIn for candidates matching the role {{role}} in {{location}}. Review profiles that fit the requirements in the attached job description and build a shortlist of 15: name, headline, current company, location, profile link and a one-line fit note. Do not send connection requests, InMails or messages — the user reviews the list first.

    Needs: LinkedIn

  • Competitor hiring watch

    Scheduled (0 9 * * 2)

Check the careers pages and job boards of these companies: {{competitors}}. Report roles they posted or closed in the last 14 days, with title, location, seniority and any salary or range shown. Flag roles that overlap with the user open positions or suggest a pay difference of more than 10 percent. Read-only — do not apply, contact or message anyone.

  • Interview schedule prep

    Scheduled (0 17 * * 1-5)

Review tomorrow interviews in the connected calendar. For each confirm the time, interviewers, candidate, role, stage and meeting link, then prepare a prep packet: resume highlights, job description summary, suggested questions and any scheduling conflicts. Do not email anyone, move events or send invites — prepare the packets only.

    Needs: Gmail

  • Candidate follow-up drafts

    Scheduled (30 10 * * 1-5)

Find candidates in {{ats_url}} who are waiting on a next step: applied more than 5 days ago with no response, interviewed more than 3 days ago with no update, or with an offer pending. Draft a short, honest follow-up for each. Do not send any email or change a candidate stage without approval.

    Needs: Gmail, Custom site

  • Job description keyword check

    On demand

Review the job description at {{job_description_url}} against similar postings for the same role. Check the required skills, seniority, salary and location details and list keywords or requirements that are missing, unclear or likely to reduce applications. Suggest specific edits, but do not publish any changes.

  • Rejected candidate feedback list

    Scheduled (0 10 * * 5)

From {{ats_url}}, list candidates rejected in the last 7 days with the rejection reason recorded, the stage they reached and whether feedback was sent. Flag anyone rejected without a documented reason or still awaiting feedback. Do not send feedback or change records — prepare the list for review.

    Needs: Custom site

  • Weekly hiring funnel report

    Scheduled (0 16 * * 5)

Compile the week hiring funnel from {{ats_url}}: applications, screens, interviews and offers per open role, plus time in each stage and drop-off. Note roles with no movement and candidates stuck longer than the usual pace. Read-only — do not move candidates or send anything.

    Needs: Custom site

  • Job board cost check

    Scheduled (0 9 1 * *)

Review the billing or subscription pages of the connected job board accounts: {{job_board_accounts}}. List the current plan, monthly cost, renewal date, credits remaining and any unused or duplicate subscriptions. Do not purchase, upgrade, cancel or renew anything — report the findings with links.

    Needs: Custom site
